Corporate & Personal Executive Assistant
The Executive Assistant works very closely with both the Founder and the Chief Executive Officer of Sweet Park, a division of the ALDO Group. The Executive Assistant is responsible for providing support with daily administrative tasks, including managing calendar and travel agenda. We are seeking a highly organized, proactive, and discreet person to provide comprehensive support.
This role combines executive support with extensive personal assistance responsibilities and requires a trusted professional capable of managing a wide variety of confidential matters with efficiency, sound judgment, and exceptional attention to detail. The successful candidate will act as a key partner to the Founder and the Chief Executive Officer, helping streamline daily activities, coordinate priorities, and ensure seamless management of both professional and personal obligations.
Given the nature of the role, flexibility, responsiveness, and the ability to anticipate needs are essential. This role operates in a fast-paced environment and requires the ability to work well under pressure, to constantly prioritize tasks and to meet tight deadlines.
Responsibilities
Executive Support
· Manage and coordinate business calendar, meetings, appointments, and travel arrangements.
· Prioritize and manage incoming communications, emails, and correspondence.
· Create and review written communications, reports, presentations and spreadsheets
· Prepare meeting materials, presentations, reports, and other documentation as required.
· Coordinate internal and external meetings, including logistics, agendas, and follow-ups.
· Track action items and ensure timely completion of commitments and deliverables.
· Serve as a liaison with senior leaders, external partners, and stakeholders.
Personal Support
· Manage personal appointments, schedules, and day-to-day administrative matters.
· Coordinate personal travel arrangements, reservations, and itineraries.
· Support household-related activities, service providers, and vendor coordination.
· Conduct research and assist with personal projects and special requests.
· Coordinate family-related appointments, events, and logistics as needed.
· Handle sensitive and confidential personal information with the highest level of discretion.
· Manage errands and administrative tasks requiring travel throughout the Greater Montreal area.
Administrative Coordination
· Maintain organized electronic and physical files and records.
· Track expenses, invoices, and reimbursements.
· Coordinate special events, social engagements, and business functions.
· Support ad hoc projects and initiatives as assigned.
· Anticipate potential scheduling conflicts and proactively propose solutions.
Requirements
• 5+ years of experience supporting a senior executive, entrepreneur, business owner, or executive leader.
• Experience providing both executive and personal assistance is strongly preferred.
• Exceptional organizational and time-management skills.
• Strong problem-solving abilities and willingness to take initiative.
• Excellent interpersonal and communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Demonstrated ability to handle confidential information with professionalism and discretion.
• High level of reliability, flexibility, and responsiveness.
• Advanced proficiency with Microsoft Office Suite and digital collaboration tools.
• Valid driver's license and access to reliable transportation.
• Ability to travel throughout the Greater Montreal area as required.
• Availability to work on-site four (4) days per week.
• Flexibility to occasionally support urgent requests outside regular business hours.
