Overview

 

Reporting directly to the Manager, Lease Administration, the Junior Lease Administrator is responsible for supporting lease compliance across a large retail portfolio of approximately 384 leases. This role assists with lease auditing, landlord billing reviews, year-end recovery reconciliations, rent payment set-ups, and the resolution of rent-related issues in collaboration with the Finance and Accounting teams.

 

Responsibilities 

 

  • Maintain accurate and efficient lease administration processes.
  • Build and maintain strong relationships with landlords to support the accuracy of rental billings and related documentation.
  • Review lease language to identify potential savings opportunities and areas where expenses may be reduced.
  • Audit year-end recovery invoices, rent step-ups, and landlord billings to identify and dispute potential overcharges.
  • Support the Senior Lease Administrator with lease abstraction and related administrative tasks as required.
  • Upload landlord-provided documents, invoices, and supporting materials into Lucernex.
  • Communicate with landlords to obtain missing supporting documentation and explanations for significant billing variations.  
  • Compare new estimated charges and rent step-ups against prior actual charges to confirm reasonableness and request landlord justification for material increases.
  • Review and approve landlord estoppel certificates, as required.
  • Participate in training to remain current on lease administration best practices, software updates, and system upgrades.
  • Contribute to the development and completion of annual goals and objectives.

 

Requirements

 

  • Bachelor’s degree in Real Estate, Finance, Business, or a related field is preferred but not required.
  • Strong computer and systems literacy.
  • Proficiency in Microsoft Office, including Word and PowerPoint, with advanced Excel skills.
  • Strong written and spoken communication skills
  • Excellent accounting, analytical, and problem-solving skills.
  • Minimum of one year of experience in retail real estate administration, including exposure to large portfolio management.
  • Knowledge of North American real estate leases and lease administration best practices.
